Sometimes, you just need an entire coffee shop to yourself. At Sozo, we love offering that option! Either for wedding receptions, a performance, film premiere, prom or even an exclusive birthday/graduation party, our space can suit any event. Our entire space can hold 300 people (we have chairs for 100).

 

Please read through our terms of agreement before booking Sozo.

This agreement outlines the terms and conditions for renting event space at Sozo Coffeehouse, operated by Great Adventure Ministries.

 

Section A: Booking Process – Please Read and Complete Carefully

To reserve an event at Sozo Coffeehouse, the following three steps must be completed.
In this contract, “You” refers to the Renter.

1. Online Request & Contract Acknowledgment: You must complete the online event request form, which confirms your interest in booking and your acknowledgment that you have read and agreed to the terms and rules outlined in this agreement. Your reservation is not officially confirmed until this contract is signed and the invoice is paid in full.

 

2. Invoice Payment: If your request is approved and space is available, you will receive an invoice via email. You must pay this invoice within five (5) business days to secure your reservation. Failure to pay on time may result in cancellation of your booking and loss of priority for the requested date.

 

3. Day-of Check-In: Refundable Deposit and Abbreviated Contract

PLEASE READ 

Upon arrival on the day of the event:

  • A brief check-in and review of responsibilities will be conducted.

  • A simplified summary of the contract will be signed.

  • You will initial a plan-o-gram acknowledging your responsibility to restore the room to its original condition.

  • A refundable deposit will be required: $200 for The Well or Entire Space; $100 for the Conference Room, payable by cash or credit card. Please see Section B Clause 13 for additional information on the Deposit Return.

 

Section B. RULES AND REQUIREMENTS:

1. Alignment with Sozo’s Purpose and Family-Friendly Standards

All activities hosted in the facility must align with the values, mission, and policies of Great Adventure Ministries, Sozo Coffeehouse, and The Well.

All events must be family-friendly, meaning that the event's theme, content, music, language, decorations, and media must be suitable for all ages, including children.

Events must not include or promote:

  • Profanity, sexually explicit content, or suggestive themes (verbal, visual, or musical)

  • Violence, graphic material, or horror themes

  • Hate speech, discriminatory messages, or political extremism

  • Alcohol, drug, or tobacco use or promotion

  • Any other material that Sozo staff considers inappropriate for a general audience

Sozo Coffeehouse reserves the right to review the content and theme of your event and to cancel or terminate any booking that does not comply with these standards, at any point before or during the event.

Note: Allowing a group or individual to use the facility does not imply endorsement by Sozo Coffeehouse, The Well, or Great Adventure Ministries.

 

2. Indemnity Clause: You (the Renter) agree to indemnify, defend, and hold harmless Great Adventure Ministries, Sozo Coffeehouse, The Well, and their staff or representatives from any and all claims, damages, expenses, legal fees, or liabilities resulting from personal injury, death, or property damage caused by your event or your guests.

 

3. CANCELLATION POLICY: The renter may cancel up to 30 days prior to the event without penalty. 29-14 days the Renter will receive a 50% refund, and after 14 days prior, the Renter will not receive a refund.

 

4. Equipment Use: Use of Sozo sound equipment requires pre-approval and hiring of a Sozo-approved sound technician. All other equipment must remain on-site and in good condition. Any damages must be reported and will be billed to the Renter. Failure to report damages—particularly to sound or technical equipment—does not release the Renter from financial responsibility. The Renter will be held liable for the full repair or replacement cost of any damaged or missing items discovered after the event.

 

5. Supervision: Proper ADULT supervision must be maintained by the group at all times. Children under 19 are not to be left unsupervised.

 

6. Outside Food & Drink Policy: Outside food is permitted; however, outside drinks are not allowed. Only items on Sozo Coffeehouse’s menu may be served by Sozo staff.

 

7. Food Supplies: Renters must supply all necessary tableware and cookware. Sozo does not provide ice or kitchenware unless otherwise agreed upon in writing.

8. Food Cleanup and Removal: Renters are responsible for removing all food items, leftovers, and food-related supplies brought in for the event. While Sozo staff will wipe down tables and take out trash, renters must ensure no food or food supplies are left behind after the event. Failure to remove food or supplies may result in additional cleaning fees deducted from the deposit.

9. Alcohol, Smoking, Vaping & Substance Policy: No smoking, vaping, or alcoholic beverages are allowed on the premises. This includes cigarettes, e-cigarettes, and other vaping devices. Intoxicated guests or individuals under the influence of any substances—including alcohol, cannabis, or other drugs—will be asked to leave the premises to ensure a safe and family-friendly environment. Sozo Coffeehouse is committed to maintaining a welcoming space for all guests and appreciates your cooperation with these guidelines.

10. Right to Cancel: Sozo reserves the right to cancel or terminate any event that violates these policies or disrupts the safety, values, or environment of the space. This may occur at any time, including during the event, at Sozo staff’s sole discretion. Please note that no refund will be provided if an event is canceled or terminated for these reasons.

 

11. Setup, Teardown, and Return to Original Condition: All setup and teardown (including the placement of tables, chairs, furnishings, and decorations) is the sole responsibility of the renting party.

The event space must be returned to its original layout and condition, as confirmed by the provided plan-o-gram.

Permission from Sozo staff is required before moving any furniture, including but not limited to couches, tables, rugs, and lamps. Unauthorized movement of furniture may result in additional fees or forfeiture of the security deposit.

No materials or decorations may be affixed to walls, furniture, lighting, or fixtures without prior written approval.

Glitter and confetti are strictly prohibited, including inside balloons, decorations, or other party materials.

Failure to comply with these conditions may result in additional cleaning or repair charges, deducted from the deposit or invoiced to the renter.

12. Damages: Renters are financially responsible for all damage caused by themselves or their guests, including the cost of repair or replacement.

 

13. Deposit Return:

  • Cash Deposits: Cash deposits will be returned to the Renter at the conclusion of the event, subject to Sozo staff’s inspection and approval confirming adherence to the contract terms and that the venue is returned in its original condition with no damages or additional cleaning required.

  • Credit Card Deposits: Credit card deposits will be processed with a 3% processing fee, which will be charged and then refunded along with the deposit amount after Sozo staff approval. The timing for the refund to appear in the Renter’s account depends on the Renter’s bank or credit card processor.

  • Partial Refunds and Damages: If the staff inspection reveals damages, excessive cleaning needs, or if the event is shut down for contract violations, the Renter may receive a partial refund or no refund at all. An itemized receipt detailing any charges for damages or cleaning will be provided within 7 business days after the event.

  • Deposit Forfeiture for Contract Violations: If the event is shut down by Sozo staff due to a violation of this contract, the entire deposit will be forfeited, and no refund will be issued.

14. Time Management: Setup and teardown times must be included in the total reserved hours. Most events require at least one (1) hour each for setup and cleanup. Please provide an accurate estimate of your time needed when booking.
